University PCard Roles and Responsibilities

Cardholders/card managers must adhere to all University policies and requirements. 

CFAES PCard Business Standards

  • Proactive Internal Dialogue:  It’s recommended CFAES employees have internal dialogue with department’s CCM prior to submitting any PCard request (application or maintenance).  Proactive dialogue will assist with better understanding the college’s business standards.
  • Workflow Approvals:  All PCard Applications and Maintenance requests require both CCM and SFO workflow approvals. 
  • PCard Application:  ONLY the CFAES employee intending to be the cardholder/card manager has system access to submit a new card application.  An employee does not have the system access to submit an application on behalf of another employee. 
  • PCard Maintenance Form:  CFAES is opting to have all maintenance requests ONLY submitted by the CFAES Service Center on behalf of cardholders/card managers.  Maintenance requests not submitted by the CFAES Service Center will be denied in workflow.
