What are the steps to choose a vendor for Charter Bus Services?
You must use the following process to choose a bus vendor. If OSU money is paying there are no exceptions even if the cost for #1 or #2 is higher than #3.
1. Contact OSU TTM - if they can do the trip you must use them. Processed on an eRequest-Internal order http://ttm.osu.edu/charter-bus
2. Contracted Vendor List – If TTM can’t do your trip then you may contact the bus vendors on the approved vendor list https://purchasing.osu.edu/FileStore/Contract%20Book/CharterBusService.pdf
3. Other Vendor – if NONE of the ones on the approved vendor list can do your trip then you start the process with a local vendor. You would need to submit an eRequest - Standard Purchasing Request and attach 1) a vendor setup form and 2) the vendor's liability insurance certificate. This does not guarantee that we can use them it will depend on what purchasing says about their insurance coverage. This process will take several weeks to be approved.
Note: For very short trips with youth we can sometimes contract with local school districts for school bus service. They are usually easier to add because their insurance requirements are similar to ours but plan ahead because the approval process is lengthy.
