Accounting Structure

Accounting is the process of recording business activities in financial terms. Business activities are recorded in the university's accounting system referred to as the Financials system or PeopleSoft. Debits and credits are used to create transactions and describe account balances.

Every department is faced with making economic decisions that will affect its ability to operate efficiently. Accounting reports from the Financials system provide information on transactions that is useful in the decision-making process. 

Accounting reports are generated from the University's General Ledger. Think of the general ledger like a giant checkbook for the University. Every transaction - money in, money out gets recorded in the General Ledger. 

Those transactions are coded with a chart of accounts called the Chartfield. The chartfield is used to identify financial transactions. Chartfield information page

The Chartfield codes the data from the General Ledger and allows the system to prepare meaningful reports or Financial Statements called eReports. 

Those eReports are used for various reporting, reconciling and budgeting needs.
